Responsible for assisting in the coordination and documentation of activities associated with MedSource budgets and proposals including, but not limited to, change orders, request for proposals, project tracking, work order tracking, and database management. This individual will be expected to interact with MedSource staff and clients and will exercise judgment in all communication.

Additional  responsibilities  include  participation  in  the  development  and  implementation  of effective budgeting practices, procedures, and reporting. General knowledge of the activities associated with clinical research is required, including project management, study initiation, clinical monitoring, regulatory affairs, etc.



  • Completes budget updates for project change orders to ensure appropriate allocation of the study budget
  • When necessary, remaps budgets from older templates and change orders based on specific study budget
  • Generates budget file and loads into MedSource database
  • Partners with Sponsor and Finance Team to investigate and resolve any issues that may arise
  • Partners with Project Managers in ensuring accuracy of study expectations
  • Works with Proposals Team to ensure budget changes are properly addressed
  • Works with Finance Team to ensure invoice accurately reflect budgeted units
  • Maintains indirect cost budget and task structure based on budgeted costs
  • Executes special projects to include, but not be limited to, analyzing historical trends, developing procedures to address study weakness, and implementing/testing activities surrounding existing systems
  • Maintains changes to policies, while communicating and providing guidance on relative policies to appropriate staff
  • Maintain confidentiality of financial information
  • Auditing of database, server files and file structure
  • Support data entry in systems including STRATIS
  • Communicate and coordinate with company personnel

  • Perform miscellaneous duties as requested in support of the MedSource budgeting team and other departments


  • Bachelors’ degree (BS, BA, RN) in a science-related or accounting field required.
  • Experience in budget and/or vendor management.
  • Knowledge of the CRO or pharmaceutical industry and trends preferred.
  • Ability to organize and prioritize work to meet deadlines in a fast-paced environment is essential
  • Strong presentation,  documentation,  leadership,  and  interpersonal  skills  with  a  team- oriented approach.


  • Strong  analytic,  communication  and  computer  skills  needed  with  a  proficiency  in Microsoft Office Suite (Word, Excel, Outlook)
  • Ability to  work  individually  and  as  part  of  a  project  team,  meet  deadlines  &  take instruction from multiple individuals
  • Ability to organize and prioritize work to meet deadlines in a fast-paced environment
  • Excellent verbal and written communication skills, as well as organizational skills
  • Ability to assess, coordinate, and organize/reorganize workload of multiple projects in accordance with project/assignments and timelines with focus on execution
  • Strong presentation, documentation, leadership, and interpersonal skills with a team- oriented approach.
  • Excellent organizational skills with strong attention to detail
